
Stoxkarts Booking & Entry Terms & Conditions
These Booking & Entry Terms form part of the Stoxkarts Ltd Terms & Conditions and must be read in conjunction with the Master Terms SXP-23 and the current Stoxkarts Rulebook.
By submitting a booking, you confirm that you have read, understood and agree to be bound by them
1. Eligibility
By submitting a booking you confirm that:
You meet the eligibility requirements of the current Stoxkarts Rulebook.
You hold (or will hold at the event) a valid Stoxkarts licence for the relevant class.
You meet all age, grading, medical and safety requirements.
Your kart and equipment comply with current Stoxkarts technical regulations.
Stoxkarts Ltd reserves the right to verify eligibility at any time and to refuse entry if any requirement is not met.
2. Rules & Officials
You agree to comply with:
•The current Stoxkarts Rulebook
•Event Supplementary Regulations
•Instructions given by the Race Director, Clerk of the Course, Stewards, Safety Officer, Scrutineers and any appointed officials
•All decisions by officials are final.
3. Motorsport Risk & Liability
Stoxkarts is a high-risk contact sport.By entering, you acknowledge and accept that participation involves the risk of:
Serious injury or death.
Damage to vehicles and equipment.
Loss of property.
You agree that, except where required by law:
Stoxkarts Ltd, its directors, officials, volunteers, promoters and venue operators shall not be liable for any loss, damage, injury or death arising from participation in events.
You participate entirely at your own risk.
4. Booking Status
Submitting a booking constitutes a request to enter, not a confirmed entry.
A booking is only considered accepted when approved by Stoxkarts Ltd.
Stoxkarts Ltd reserves the absolute right to:
Accept or refuse any booking.
Limit grid sizes.
Reallocate grades.
Remove drivers from an event where necessary for safety, compliance or operational reasons.
5. Race Fees
Entry fees are payable on the day in cash, unless otherwise agreed in writing.
Hire drivers must be pre-approved by Stoxkarts Ltd.
Failure to attend without cancellation may result in refusal of future bookings.
Refunds are at the sole discretion of Stoxkarts Ltd.
6. Late Bookings & Cancellations
Bookings submitted after the advertised cut-off will incur a £10 late booking fee and the driver will start at the back of their grade.
Cancellations after the cut-off must be made by phone to 07776 243665 or email: admin@stoxkarts.co.uk
Cancellations within 24 hours of the event will incur a £10 cancellation fee.No-shows may be charged and may lose booking priority for future events.
7. Rules & Officials
You agree to comply with:
The current Stoxkarts Rulebook
Event Supplementary Regulations
Instructions issued by:Race Director - Clerk of the Course – Stewards - Safety Officer – Scrutineers - Any appointed Stoxkarts official
All decisions by officials are final and binding.
There is no right of appeal unless explicitly stated in the Rulebook.8.ConductYou are responsible for:Your own conduct.The conduct of your pit crew, mechanics and family members.Unsportsmanlike behaviour, abuse of officials, unsafe conduct or breach of rules may result in:
Exclusion without refund.
Loss of championship points.
Suspension or withdrawal of licence.
Refusal of future entries.9. Safety & Compliance
You agree to:
Present your kart for scrutineering when required.
Use only approved safety equipment.
Follow all safety instructions and procedures.
Comply with any safety exclusions or restrictions.
Failure to meet safety requirements may result in exclusion without refund.
10. Media, Recording & Intellectual Property
You grant Stoxkarts Ltd the right to:
Photograph and record you at events.
Use your name, race number, image and footage for promotional, commercial and reporting purposes.
In-car cameras or recording devices are prohibited unless written permission has been granted by Stoxkarts Ltd and the relevant SXF/22 In-Kart Filming Disclaimer & Permission Form has been completed.
All event footage remains the intellectual property of Stoxkarts Ltd unless otherwise agreed in writing.
11. Data Protection (UK GDPR)Personal data is collected for:
Event administration.
Safety and safeguarding.
Licensing and compliance.
Communication and operational purposes.
Data is processed in accordance with UK GDPR and the Data Protection Act 2018.Data may be shared with:Event promoters.
Medical and safety personnel.Governing bodies where required for regulatory or safeguarding purposes.
12. Safeguarding (Under 18)For drivers under 18 years of age:
A parent or legal guardian must consent to the booking.
A responsible adult must be present at the event at all times.
Stoxkarts safeguarding policies apply at all events and activities.
12. Right to Refuse Entry
Stoxkarts Ltd reserves the absolute right to refuse entry or remove any person from an event for reasons including but not limited to:
Safety concerns
Behaviour or conduct.
Breach of rules or policies.
Reputational risk to the formula.
Operational or legal requirements.
No refund will be due in such circumstances.
13. Governing Law
These terms are governed by the laws of England and Wales.Any disputes shall fall under the exclusive jurisdiction of the courts of England and Wales.
